What the export does and does not establish
Notion supports exports such as HTML, Markdown, and CSV for databases, with different options for pages and workspaces. Workspace exports exclude content the exporting person cannot access, and some settings can further limit coverage. An export is therefore a snapshot of available material, not proof that every relevant page or relationship has been captured.
Content boundaries to review
Notion workspaces often blur the boundary between authored knowledge, meeting notes, customer research, copied reading material, and embedded content. Database properties may hold private contact information even when page bodies look harmless. A guest-authored page or licensed template also needs review; access to duplicate or export it does not establish a sublicensing right.
Prepare a narrow candidate collection
Start with a curated knowledge collection whose owners can explain its origin. Separate database rows from page bodies and decide which relations must survive to make the examples useful. Inspect embedded files and external links individually. Avoid presenting a database export as a relationally complete replica before testing how links, rollups, and formulas appear.
Evidence to preserve
Preserve page IDs or source URLs, database names, parent relationships, export options, and capture dates. Keep a record of authors, guest contributions, imported templates, and referenced assets. Compare the export sitemap and file inventory with the approved collection scope. Document missing private pages without expanding access simply to increase the number of records.
Validate before offering a sample
A practical pilot is a set of reviewed playbooks with versioned answers and clear internal ownership. Ask a subject-matter reviewer to distinguish durable guidance from brainstorming and outdated notes. Keep the cleaned release separate from the original workspace export, and maintain a decision log so future updates can repeat the same inclusion boundaries.
Before any external sample or sale, have the responsible rights and privacy reviewers assess the proposed recipient, training or evaluation purpose, retention, redistribution, and deletion obligations. Preserve the relevant contract versions and written decisions. These preparation steps are a review framework, not a legal conclusion or a statement that the platform endorses commercialization.
